Introduction

Kaizumi ("we," "our," or "us") respects your privacy and is committed to protecting your personal data. This privacy policy explains how we collect, use, and safeguard your information when you use our website and services.

Information We Collect

Information You Provide

  • Account information: Name, email address, and password when you create an account
  • Profile information: Organization name, industry, and role when you set up your workspace
  • Payment information: Billing details processed securely through our payment provider (Stripe)
  • Content: Documents you upload (PDF, PPTX) for training module generation, and the personalized training modules created from them
  • Communications: Messages you send us through contact forms or email

Information Collected Automatically

  • Usage data: Pages visited, features used, and interactions with our services
  • Device information: Browser type, operating system, and device identifiers
  • Log data: IP address, access times, and referring URLs

How We Use Your Information

  • Provide, maintain, and improve our services
  • Process transactions and send related information
  • Send you technical notices, updates, and support messages
  • Respond to your comments, questions, and requests
  • Monitor and analyze trends, usage, and activities
  • Detect, investigate, and prevent fraudulent or unauthorized activity
  • Personalize and improve your experience

Data Storage and Security

Your data is stored securely using industry-standard encryption. We use Supabase for our database infrastructure, which provides enterprise-grade security including encryption at rest and in transit, regular security audits, and SOC 2 Type II compliance.

We retain your personal data only for as long as necessary to fulfill the purposes for which it was collected, including to satisfy legal, accounting, or reporting requirements.

Uploaded Documents & Generated Content

When you upload training documents (PDF or PPTX) to generate personalized modules, they are stored in Google Cloud Storage (GCS) with the following security measures:

  • Encryption at rest: AES-256 encryption for all stored files
  • Encryption in transit: All uploads and downloads use HTTPS/TLS encryption
  • Access control: Time-limited signed URLs ensure only authorized users can access content
  • Isolation: Your organization's data is isolated from other customers through row-level security policies

Document Processing & Retention

When you upload a document for module generation:

  • The document is uploaded to a temporary staging location, then moved to a permanent path associated with your module
  • An AI-generated summary is extracted and stored alongside your module record in our database
  • Both the original uploaded document and the AI-generated summary are retained for the duration of your subscription

Generated Training Content

Personalized training modules (narrated videos, knowledge checks, and supporting materials) are stored in GCS and remain accessible while your subscription is active, including during any grace period. If you resubscribe, access to previously generated modules is restored.

Shareable Links

Each generated module includes a shareable link that allows anyone with the link to view the module without creating an account. Be aware that anyone you share this link with can access the module content. Shareable links for subscription-type modules stop working when the owner's subscription expires (after any grace period). One-time purchased modules retain their shareable links permanently.

AI Processing & No-Training Commitment

  • Documents and content are processed by Google Vertex AI (Gemini) within Google's secure infrastructure
  • We do not use your uploaded documents, generated modules, or any other user content to train AI models
  • Under Google's Cloud Data Processing terms, Google does not use customer data processed through Vertex AI to train its models
  • AI-generated summaries of your documents are stored in our database to power your training modules — the raw AI conversation history is not retained after generation completes

Information Sharing

We do not sell your personal information. We may share your information only in the following circumstances:

  • Service providers: With vendors who assist in providing our services (hosting, payment processing, analytics)
  • Legal requirements: When required by law or to protect our rights and safety
  • Business transfers: In connection with a merger, acquisition, or sale of assets
  • With your consent: When you explicitly agree to sharing

Depending on your location, you may have the following rights:

  • Access the personal data we hold about you
  • Correct inaccurate or incomplete data
  • Request deletion of your personal data
  • Object to or restrict certain processing
  • Data portability (receive your data in a structured format)
  • Withdraw consent at any time

To exercise any of these rights, please contact us at support@kaizumi.com.
